General Voice Mail Information

Voice mail accounts are available to all current Capital University students, staff and faculty. All voice mail accounts and contents are critical components of a campus-wide telecommunication system and is the sole property of Capital University.

The information technology department is responsible in maintaining and ensuring the efficient use of the voice mail network. Information technology reserves the right to retrieve any and all voice mail contents for legimate reasons.

Voice mail greetings should be kept current or general in nature. Voice mail messages (incoming and outgoing) should be business like and professional. Precautions should be taken to prevent unauthorized access. Unauthorized entry into any account will be considered a security violation. Violation issues will be handled directly by the university and the Office of Public Safety. Acceptable Use Policy

Use of Capital's voice mail system falls within the jurisdiction of the Acceptable Use Policy (AUP), which can be viewed online at http://www.capital.edu/cc/it/aup.htm. Any violations or misuse of the AUP will result in disciplinary action. The university will deal with each situation and circumstance independently. With regards to violations, the AUP states:

"Violation of this policy may result in suspension of privileges to access the information technology involved, initiation of university disciplinary procedures or, in extreme cases, criminal prosecution under federal or state law. Access to computing resources is a privilege accorded to all university faculty/staff and students much like the privilege of using the CU library system."

Requesting A New Voice Mail Account*

A new voice mail account can be requested by any current university student, staff or faculty by:

*Faculty or staff who are entering the University for the first time can also obtain a new voice mail account by submitting the "Notification of New Faculty/Staff" form from Human Resources.


*Traditional students who have enrolled in the University and attended orientation will automatically receive a new voice mail account. If you do not receive one, please request one through the I.T. Help Desk. Non-traditional students must request a voice mail account.

Requesting Voice Mail Modifications

Any current university student, staff or faculty may request voice mail moves, adds and/or changes to their own account (or on behalf of their department) by completing a “voice mail request form.” Voice mail modifications include:

  • Password resets
  • Deleting a voice mail account
  • Voice mail account moves
  • Requesting a new voice mail account
  • Special requests (must be arranged with voice mail administrator)

No moves, add or changes will be processed without written documentation. All voice mail modifications will be done at the discretion of the voice mail administrator. The voice mail administrator reserves the right to dismiss and/or reject any voice mail request.

The Office of Residence Life may forward copies of room transfers, lists of students that have either graduated and/or left the university to the Information Technology department. The voice mail administrator will automatically process these requests without any input from the student.

Voice Mail Account Durations and Deletions

Voice mail request generally take between 1 to 2 business days to process and create during normal working conditions. During peak times of each semester (ex: beginning of semester), the processing time may take between 4 to 5 business days.

All student voice mail accounts will be deleted 30 days after graduation. Voice mail accounts will be deleted immediately for students that have left/withdrawn from the University. No exceptions.

Faculty and staff accounts will be deleted immediately upon departure from the university unless special arrangements have been made with the Information Technology department.

Frequently Asked Questions

Q: I am a returning student. Do I need to complete another voice mail form? Will my voice mail account stay the same as last year?

A: No. You do not need to complete another form. As a returning student, you should have the same voice mail as you had last year. If you have any problems with your voice mail account, please contact the Help Desk at 236-6508.

Q: I forgot my voice mail password. What do I do?

A: Information Technology does not keep records of passwords once it has been changed from the default. Please fill out the voice mail request form on-line or come directly to the I.T. Help Desk window. For more information, please contact the Help Desk at 236-6508.

Q: My voice mail light on my telephone is stuck or will not light when I receive a telephone call. What should I do?

A: Common reasons why a voice mail light either will not come on or go out:

  • Telephone extension is set up to receive multiple voice mail accounts, there is a possibility that one of the other voice mail accounts attached to the telephone extension has a message waiting. Make sure that everyone has cleared out all NEW messages first before calling the help desk for help.
  • The voice mail account may need to be reset/reactivated bypressing either #90 and/or *52;

If neither two techniques work in resetting your voice mail light, please call the I.T. Help Desk at 236-6508 to have a ticket created for the voice mail administrator.


Q: When people call my telephone extension, a message states that my voice mail account is invalid. What do I do to fix it?

A: If you hear this message, the voice mail account has not been set up and personalized yet. Usually you will hear a message that states, “to leave a voice message for extension one, press one.” Please setup your voice mail account and this error message will disappear. Q: The voice mail system tells me that my voice mail number is not recognized. What do I do?

A: If you hear this message, you do NOT have a voice mail account attached to the telephone extension. You must submit a request to the I.T. Help Desk to get a new one or if you currently have one, have your voice mail account attached to the telephone extension. For more information about voice mail accounts, please contact the Help Desk at 236-6508.

Q: I am changing rooms. How do I get my voice mail account changed to a different telephone extension?

Fill out a "voice mail request form" either on-line OR at the I.T Help Desk window. On the form, choose the option "move voice mail account to telephone extension." You must know your own voicemail account number.

Q: How do I access my voice mail messages from off campus?

A: If you are off-campus, dial 236-6655 to gain access to the Octel voice mail system. To review voice mail messages, press "*", dial your voice mail box number, and enter your 7-digit password. You will then be prompted by the voice mail system on how to continue.
