Equipment Delivery Procedure





Procedure for reserving and delivering equipment to classrooms:

Faculty and staff may request that media equipment be delivered to a classroom. Some items are only available for delivery and cannot be checked out (TV/VTR sets, for instance) and some equipment cannot be delivered for security reasons (notably laptop computers and data projectors). Requests for equipment should be made no later than 4:00 pm on the weekday before the delivery. For items requested for delivery after 5:00 pm, we can generally accept requests before 4:00 pm the same day. Last-minute requests can be taken, but on-time delivery cannot be guaranteed.

I. General Procedure

When equipment is requested...

When an instructor calls and requests equipment, use the following decision tree to decide how to proceed:

  1. Is the equipment to be picked up or delivered?
    • Laptop computers, data projectors, camcorders, and digital cameras cannot be delivered. These items must be checked out; instead of scheduling a delivery, enter a reservation for the equipment into the computer, and inform the instructor that the equipment must be picked up.
    • Most other equipment can be delivered to the classroom.
  2. Is the equipment needed in the classroom?
    • Check the Classroom Technology Guide on the Web, or the Room Contents Checker in the Paradox database.
    • Remember, many instructors are simply unaware of the equipment available in their classrooms! If the equipment is already present in the classroom, inform the instructor. Due to special requirements additional equipment may occasionally be required, for instance a second TV/VTR unit.
  3. Is it before 4:00 pm the day before the equipment is needed (or before 4:00 pm the same day for evening classes)?
    • If not, inform the instructor of the usual policy, and warn him that on-time delivery will be attempted, but cannot be guaranteed.
If the equipment is to be delivered, use the "Schedule a Delivery" utility in the Paradox application. When you click the Submit button, the utility will not alllow you to proceed unless you enter the minimum required information. Also, if it is a last-minute or same-day request, you will be asked if you want to print another copy of the day's delivery form.

When equipment goes out...

Look at the delivery schedule for the day to determine what equipment is required. VHS/MON carts are stored in the various storage rooms around campus so that it should not be necessary to move television carts between buildings

If necessary, obtain the equipment from the storage location (the rear-projection/storage room or the cabinets behind the service window) and check to make sure that it is complete. In the case of a projector, plug it in and make sure the lamp works. If you are delivering equipment from the remote storage rooms, obtain the appropriate building key ring from the key cabinet to the right of the service window.

Deliver the required equipment to the classroom no later than the scheduled delivery time. Make a note of the ID code number of each piece of equipment delivered, or in the case of a named cart, get the name of the cart.

Finally, initial the delivery sheet in the space marked "Out" next to the delivery you just did, AND write the ID codes or name of the equipment delivered below the box with the requested equipment. Be sure to write down the ID code (i.e. "KC 127") or the name (i.e. "Solomon") for each piece of equipment delivered as it is our means for tracking the whereabouts of all of our equipment!

When equipment comes back...

After the class ends, return to the classroom, collect the equipment listed on the delivery sheet, and return it to its storage location or take it to its next delivery location. Initial the delivery sheet in the space marked "In" next to the pick-up you just did.

Most important...

If you have any questions; if you are in any doubt about proper procedure, please ASK a permanent staff member or a student supervisor!

II. Special restrictions and procedures:

  • Laptop computers may NOT be delivered.
  • The Data Projectors may NOT be delivered.
  • Camcorders and digital cameras may NOT be delivered.
  • While the above listed equipment may not be delivered, please be willing to help faculty and staff handle and set up the equipment when they come down to check it out.
